Position Purpose
The Associate Account Executive supports the National Account Team in delivering exceptional service and results for franchise and multi-location clients. Reporting to an Account Director, this role partners closely with Account Executives to manage the administrative, operational and coordination needs of assigned accounts, so projects remain organized, accurate and on schedule.
The Associate Account Executive supports communication between the agency and client, coordinates internal processes, prepares client-ready materials, and assists with project management, research and reporting. This is a foundational account services role for a detail-oriented, proactive team member who is eager to learn the agency business, strengthen client service skills and grow into a more client-facing position.
Responsibilities
Account Support
- Collaborate closely with Account Executives and Account Directors to support the day-to-day management of assigned national franchise and multi-location client accounts.
- Monitor client communications and account activity to remain informed of priorities, deadlines, approvals and outstanding requests.
- Assist with administrative follow-up and routine client communication, ensuring responses are timely, professional and aligned with account team direction.
- Prepare, review and distribute client-ready materials, including presentations, agendas, status documents, reports and correspondence, with a strong focus on accuracy and detail.
- Address non-strategic client inquiries within the scope of the role and route strategic, financial, sensitive or out-of-scope matters to the appropriate account leader.
- Attend client and internal meetings, capture clear notes, document decisions and distribute action items and next steps.
- Input and organize client feedback within deliverable reviews so internal teams receive clear, actionable direction.
- Coordinate creative trafficking internally and with external vendors for translations, adaptations and other approved production needs.
- Support coordination of in-person client meetings, client gifts and approved added-value initiatives.
- Maintain familiarity with assigned clients, including their business objectives, brand standards, audiences, scopes of work and active initiatives.
Project Management + Coordination
- Assist with the creation of task requests, project briefs, specification sheets and supporting project documentation.
- Maintain and update project records as client details, feedback, approvals and requirements are received.
- Monitor project schedules and delivery dates to help ensure deliverables meet client deadlines.
- Schedule and coordinate internal brief collaborations, project kickoffs, reviews and cross-departmental check-ins.
- Partner with Project Managers and account leaders to update schedules and timelines based on client needs, approvals or changes in direction.
- Track outstanding approvals, dependencies and open items, following up with internal teams as needed to maintain project momentum.
- Communicate potential delays, conflicting priorities, missing information or scope concerns to the Account Executive or Account Director in a timely manner.
- Support quality assurance by reviewing client-facing deliverables for completeness, formatting, accuracy and alignment with approved direction before distribution.
Reporting + Research
- Gather, organize and validate information for recurring client reports, dashboards, meeting materials and presentations.
- Compile performance insights, account updates and supporting data for Account Executive review.
- Assist with identifying notable trends, changes, risks and questions that may require additional analysis or strategic discussion.
- Conduct industry, competitor, platform, market and audience persona research to support strategic recommendations and client planning.
- Maintain organized research files and source documentation so findings can be easily referenced by the account team.
- Support Account Executives in identifying opportunities for client growth, optimization and added value.
- Ensure dates, labels, metrics and supporting notes are accurate and consistent across client reporting materials.
Process, Systems + Tools
- Manage account support activities through approved agency project management systems, communication, reporting and file-sharing systems.
- Ensure briefs, meeting notes, timelines, feedback, approvals and deliverables are documented accurately and updated consistently.
- Maintain organized account files, contact information, correspondence and project documentation.
- Use agency systems responsibly and maintain the confidentiality of client, campaign and business information.
Qualifications
- Bachelor’s degree in marketing, communications, business or related field preferred.
- Two or more years of agency experience preferred; franchise or multi-unit brand experience is a plus.
- Experience supporting multiple client accounts, projects or cross-functional marketing initiatives.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent written and verbal communication skills and the ability to prepare polished client-facing materials.
- Ability to build and maintain positive working relationships with internal teams and clients.
- Experience preparing, managing and tracking account-related documentation.
- Analytical thinking with the ability to assist with project estimates, budget tracking and performance reporting.
- Familiarity with marketing, advertising or franchise development best practices.
- Adapts quickly to new tools, software and technological resources.
- Proficiency in Microsoft 365 required. Experience with SharePoint, project management systems and reporting platforms is a plus.
- Identify opportunities to improve organization, documentation and workflow efficiency, and share recommendations with account leadership.
